What document verification (DV) really is
After written exams and skill tests, shortlisted candidates are called for document verification. Officials compare your physical documents against what you declared in the application form. DV is not a formality — candidates are disqualified every year for name mismatches, invalid category certificates, or degrees that do not match eligibility.
When DV happens in the selection process
Most central recruitments (SSC, Railway, IBPS) conduct DV after the main exam and before final appointment. Some stages call it "Detailed Verification" or combine it with medical examination. You typically get an email or portal message with date, venue, and document checklist. Missing the DV slot without approved extension usually means disqualification.
Documents they almost always ask for
- Photo ID — Aadhaar, PAN, passport, voter ID, or driving licence
- Date of birth proof — 10th certificate is the standard
- Educational certificates — From 10th onward through the qualifying degree; all mark sheets and degree/provisional certificate
- Category certificate — OBC-NCL, SC, ST, EWS, PwD as applicable, in the format prescribed in the notification
- Photo and signature — Same specs as application; carry passport photos
- Application printout — Registration confirmation and fee receipt

What officials scrutinise closely
Name and spelling: Your name, father's name, and date of birth must match across 10th certificate, ID, and application. Minor variations (Ram/Kumar vs Ram Kumar) may need an affidavit or gazette notification — check the commission's guidelines.
Category claims: OBC-NCL certificates must be valid for the financial year and issued by competent authority. EWS certificates have income and asset limits. PwD certificates must specify percentage and type of disability as per the notification.
Qualification: Your degree must match the post requirement — e.g. "Graduate in any discipline" vs "Graduate with Maths at 12th level." Integrated degrees, distance education, and foreign degrees may need equivalence certificates.
Common reasons for rejection at DV
- Expired or wrong-format reservation certificate
- Over-age when counted correctly as on notification date
- Claiming bonus marks or qualification without proof (NCC, sports, etc.)
- Employed in another government post without proper NOC where required
- Criminal record or false declaration caught in background verification
Watch out: Never submit forged certificates. Government verification includes database checks and police verification for many posts. Fraud leads to permanent debarment and legal action.
How to prepare before DV day
Line up every certificate months ahead. Get name corrections or updated OBC-NCL issued before DV, not after.
